- Name of person authorised to collect child along with password
- Child's details including: name, gender, date of birth, ethnicity/cultural background and religion, language spoken at home
- National health number for funding forms
- Parent/carer National insurance no.
- Child's special needs/disabilities, medical conditions/allergies, dietary needs, healthcare plan/agreement to administer medicines
- Professionals involved with the child and the reason for involvement, doctor’s name and address, photos for web site.
- Contact information including email address
- Demographic information such as postcode, preferences and interests
- Other information relevant to customer surveys, awareness and fund-raising activities
For staff only:
- DBS numbers, qualifications, references, CVs, application forms, emergency contact details
How is it collected?
The data we collect may have come from various sources including:
- Past and Present parent database
- Web site form submissions
- Verbal agreement
How will it be used?
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
- Internal record keeping

Email marketing
- If you have received a promotional email from us, it will be because:
- You have children who have attended the Pre-School in the past
- You currently have a child or children attending the Pre-School
- You completed an online form which gave you the option to request more information
- All promotional emails contain an easy opt-out (unsubscribe) facility, should you no longer wish to receive them in the future
- If a subject has not engaged (i.e. opened an email) within 12 months of our Annual Data Audit, they will be Globally Supressed which means that we can no longer contact them

- The data we hold is kept to a minimum and deemed necessary for our communications with you. We never request or hold any information about you that we don't need
Who will it be shared with?
- We will not share your personal information with any other organisations for use by them in any way unless we have your permission or are required by law to do so.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

- All Physical information (printed documents) are kept in a locked office and is only accessible by authorised staff and committee members

- Unfortunately the transmission of information via the Internet is never 100% secure. We cannot guarantee the security of your data transmitted to our web site. This means any such transmission is at your own risk. In cases when we use external web site provided by other organisations such as Twtter, Youtube and Facebook, then we would ask you to cosnult their privacy policies.
How long will it be stored?
- We have an obligation to keep all personal files for 5 years in case they are required by the authorities.

We use traffic log cookies on this web site which are totally anonymous, and are used purely to analyse how users navigate around our site. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs.
